Fireflies’ free tier transcribes without a minute cap and limits storage instead, which is a better shape if you have many short calls. If you would rather pay than ration, Otter Business at $19.99 annually is unlimited and is a perfectly good answer to this problem.

02 / The per-seat price is the problem

Every one of these is billed per person per month, so the cost scales with the team rather than the usage. Fathom’s free plan covers unlimited recordings and summaries and is the cheapest honest answer here — with the caveat that its paid tiers carry a two-user minimum, so a single person cannot buy up. Notta Pro is $97.99 a year, which is the lowest paid price in this group.

03 / You do not want a bot in the call

Otter and Fireflies join as a visible participant, which some clients read as a third party being added to a private conversation. Granola takes your computer’s own audio and never appears in the participant list. Its Basic tier is $0 with limited history; Business is $14 per user per month.

04 / The meeting was never on a call

This is the one no software alternative solves. Otter, Fireflies, Fathom, Notta and Granola all need a virtual meeting to attach to. That is the conversation cap on the free Basic tier, separate from the 300-minute monthly allowance. Pro raises it to 90 minutes and Business to four hours. If you regularly record long sessions, the cap rather than the allowance is usually what forces the upgrade.

Can Otter.ai record in-person meetings?

Otter has a mobile app that can record from a phone, so technically yes — you are holding a phone out on the table. What it cannot do is capture without something being run and pointed at the conversation. That is the difference this page is about, rather than a claim that it is impossible.
